To compare hourly hire with a full day, first work out how long you will use the space. A talk can end before the organiser has packed away the equipment. A comparison based only on the programme's duration may therefore cover too few hours.

Write down the actual start and finish

Use the time you need to enter for preparation as the start. For the finish, use the time you can hand back the space after packing up. Allow for guest arrival and breaks between them. Do not subtract a break if you still need the room for your materials or for the group to return.

For a meeting with several speakers, ask each one what they need to check before the audience arrives. Switching laptops or demonstrating their own equipment may need separate preparation. Check that your requested period covers those checks rather than planning them before your hire begins.

Compare two offers with the same contents

Request an hourly and full-day comparison for the same event. Both versions should have the same headcount, equipment and extras. Only then does the price difference tell you something useful about the duration choice. The offer should show the time covered and the final calculation.

Consider hourly hire for a programme with a clear start and finish. Consider a full day if you have several sessions in the room or need longer to prepare. These are planning suggestions. Agree availability, the period covered by each option and possible changes for your own event.

Separate hire from extras

The published equipment list includes a projector, Wi-Fi, flipcharts and markers, as well as tables and chairs. Use of the espresso machines does not mean coffee is included. Unlimited self-service coffee is charged per person. Describe food or other requirements in the enquiry and check what the offer covers.

Account for programme changes before deciding

A workshop with an open discussion may have a less predictable finish than a talk. Mention that possibility in the enquiry. Ask how additional time would be handled if you need it. Do not present an extension to participants as guaranteed.
