A virtual office makes sense if you need a business address and agreed mail handling while you keep doing the work somewhere else. Before choosing, list where you will use the address and who watches for documents. Start using the address only once the terms are confirmed.

Picture working at your own desk at home. The desk suits you, but you want your business administration tied to another address. You don't need a new desk. You need a clear agreement about the address and how mail reaches you.

Where your address appears today

Make a list and change nothing yet. If your company exists, go through the documents and invoices you already use. If it is new, note where you will need the address. In both cases, check which changes and documents the authorities or your contracting parties require in your situation.

Your list should cover:

  • Company documents and records that state the registered seat.
  • Details on invoices and in correspondence with partners.
  • Contact details on your website and other channels of your own.
  • Senders from whom you expect paper documents.

For each item, write who checks it and what has to be confirmed. A new business address doesn't remove a home address that has already been published. Check each source separately.

Who watches the mail while you work

Working from home doesn't mean being at your email all day. When you are in a meeting or away, someone still has to look at documents that arrive. Choose a responsible person and a backup, and agree how a document reaches your accountant or a colleague.

Write a short internal procedure: where the notification or scan arrives, who opens it and where the next step is recorded. For a document with a deadline, check the procedure for that exact type of document. Don't assign a virtual office provider a responsibility you haven't contracted.

ZagrebSpace offers a virtual office at Gacka 16 in Zagreb. Basic includes the address without mail scanning. Complete includes opening, scanning and emailing mail, registered mail and forwarding for a normal volume. A larger volume is agreed in advance.

If you rarely come to Zagreb, ask how you would get hold of originals. Scanning doesn't solve every need for a paper document. The questions for that conversation are in the guide to a business address and mail.

A short transition plan

In your plan, write from when you may use the address, which documents you need and the order in which you tell your business contacts. Don't treat the start of use as the day you sent the enquiry. Keep the confirmed terms with your list of changes.

Note also who will watch mail sent to the old address. With the new provider, confirm only what they actually take on. For the conditions on a registered seat and your activity, check your own case with the competent authority or a professional before you change anything.

Common questions

Does a virtual office include a desk?

No. A business address is not a rented workplace. If you need physical space, say so separately and ask for the right offer.

Does the address guarantee registration of my business?

Don't conclude that from a general description of the service. Check the rules for your activity and company. Ask the provider what you get under the agreement, and the competent authority what it requires in your case.

Ask for a quote that fits how you work

Through the contact page, send why you want the address, the mail you expect and whether you need scans or originals. Add the questions from your transition plan. Compare the answer with your list before you change any business details.
