Prepare your presentation so you can open it without the internet on the event day. That is an organisational recommendation, not a prediction of network problems. Separate content checks from equipment checks so you know what still needs confirmation with the venue.

Send technical requirements before hiring

Hall hire includes a projector and Wi-Fi. That does not confirm the connection on your laptop, an available adapter model or sound equipment. Check the published list on the space and equipment page and describe any further requirements specifically.

Give details of the laptop you are bringing and its connections. Mention any video or sound in your presentation. For live streaming, describe the intended setup and your own equipment. Do not assume the standard equipment list includes a microphone, camera or technician.

Prepare files you can open yourself

Save the final presentation on the laptop you will bring. Consider a PDF backup for slides that do not depend on animation. Check what that version loses, especially if an animation forms part of your explanation. The backup document should make sense without relying on the speaker's memory of the original slide.

If you are showing video, check that you can play it in the conditions you intend to use. A link to online content is different from a file on your laptop. Note slides that require an application login and check access on your own device before the event.

View the presentation as an audience member

Keep a slide focused on the content you are discussing at that moment. For a dense table, prepare a separate view of the relevant part or a document participants can read themselves. A short visibility check from the audience is more useful than deciding everything looks good on a small laptop screen.

Include a sound check if your programme needs one. Play the actual clip rather than just checking that the application opens. For collaborative work, check how you will show participants the instructions after leaving the slide presentation. Consider the audience layout with the seating guide.

Agree time for checks in the space

In your hall hire enquiry, explain that you need time to connect your laptop and check the display. Confirm when you can enter and whether those checks fall within your hire. Plan arrival before the audience using the agreed access time.

For several speakers, list who is bringing a laptop. Consider whether approved files could run from one device. If devices need to change, include each change in the preparations. Check power and the required adapters before marking them as resolved.

Decide what happens if part of the display fails

The leader should know whether they can continue with backup slides or explain the content using a flipchart. The hall has flipcharts and markers, but prepare what you would show on them. Avoid making the whole workshop depend on a backup method you have not rehearsed.
